What this service involves
Ask anyone what they remember most about the weddings they’ve attended, and music comes up almost every time. Music and performance undeniably shape how a wedding feels and how a moment is remembered long after the evening ends. With artist management, we find, book, and look after the performers at your wedding. So when The Wedding Saga works as your wedding planner, we don’t treat the artist as a line in the schedule. We treat it as part of the design. We have a pool of artists we already know and work with, so the question of who should perform begins from familiarity, not from a blank search. By bringing a room of different generations into the same feeling, we regard the choice of how the evening should be felt, what the bride and the groom want, what the families want to honour, and what will set the pace for the evening. From the first conversation to the final note, one team stays responsible for the artist side of the event.
What the service covers
Artist Management is part of our wedding management, and it can include:
- Celebrity performances: We source, approach, negotiate, finalize, and book established artists and performers. Handling contracts, travel, and hospitality is also part of artist management.
- Live bands and musicians: From classical and ghazal to jazz, folk, and contemporary acts, the genre is chosen to suit the occasion and the audience.
- DJs: For the wedding reception, the sangeet, or an after-party, the DJ is carefully planned with the music being central to how the night unfolds.
- Ceremony and cultural performers: Instrumentalists, vocalists, and traditional artists are procured to solemnize the wedding ceremony and the rituals around it.
- Hosts and emcees: Hosts and emcees are the voices who carry and guide guests through the program.
How it works
- Understanding the celebration: Before any name is considered, we learn how the families wish to celebrate: their languages, their traditions, the character of their guests, and the feeling they hope the evening will carry.
- Identifying the right artists: Every list is built around your wedding. Standing rosters are rarely followed when shortlisting artists. We look at style, stage presence, experience, the venue, the audience and your budget, and we only put forward artists we’d be comfortable standing behind.
- Presenting and deciding: You receive a clear shortlist with our recommendation and reasons for it. Where it helps, we arrange auditions, review live footage or speak with the artist’s team so the decision is an informed one. The choice ultimately rests on evidence as well as instinct.
- Engagement and contracts: We handle paperwork, negotiation, terms, payment schedules and written confirmations, so everything is settled and agreed upon in writing before preparations begin.
- Planning the performance: Set lists, timings, technical needs and the artist’s place in the evening’s program are all worked out together with the artist’s team so there’s no room left for delay.
- Managing the day: We receive the artist when they arrive, oversee soundcheck and rehearsal, and stay with them until the performance is done.
What We Coordinate
However accomplished the artist, their performance depends on many people working to the same plan, and The Wedding Saga’s role is to keep that plan in one place. With the artist and their team, we coordinate contracts, riders, travel, accommodation, transfers, hospitality, set lists and technical requirements. On the other hand, with you and your family, we manage shortlists, approvals, special requests, personal songs and dedications, any cultural considerations, and anything the families would like handled in a particular way. With the production team, we align stage design, sound, lighting, backline, and soundcheck schedules. And with the venue, the wedding decorator, the photographers, the videographers, and the hospitality team, we balance and resolve stage positioning, sightlines, power, backstage space, and timings so each team can prepare with what it needs. If an artist is flying in to another city or country for wedding celebrations, we also arrange permits, travel documents, and local logistics.
The Artist’s Journey
Every artist prepares differently. Some want quiet before they go on, some like to talk through the evening, and some just want to know where everything is. Because many of them are artists we have worked with before, we often know which is which. From the first call itself, these artists have one person at The Wedding Saga to turn to, and that person stays with them until the performance is over. On the day, they are met on arrival, given a quiet space to settle, and walk through the venue so the stage feels familiar before they step onto it. Shortly before they go on, we walk them to the wings and stay there with them, introduce them to the host, and confirm their cue. When the set ends, we thank them on the family’s behalf, pass on what guests said, and make sure their departure is as smooth as their arrival. Composure on stage is, in large part, made backstage. Artists perform better when they feel looked after, and this is how we go about it.
Our Approach
Good wedding organizer work is mostly unseen. When an artist is well chosen, well briefed and well looked after, guests simply experience a very good evening. That is what we aim for, through careful wedding planning and a team that stays attentive from the first conversation to the last song.
If you are considering artists for your wedding, speak to us early. The right performer is easier to find and easier to coordinate when there is time to do it properly. Inevitably, Time allows the right choice to be made and to be made well.
